The Business Problem

The organization was a joint venture between one of the country’s oldest and largest groups and UK’s largest insurance organization whose association with India dates back to 1834.The organization was performing well in the Indian insurance market. It was important to make their employees comply with the Principles of Business ethics Code and UK anti bribery act. Given the large scale of operation of the organization it was very difficult to make the compliance document available to everybody and to take their signatures on the acceptance form. To address this problem they needed a system through which the employees could record the acceptance with policies from wherever they are posted. Moreover the solution was supposed to continuously track the changes in the employee strength due to new hire as well as attrition across all the geographies.

Solution / Intervention

In order to solve this problem, we provided them with an ‘Interactive Business Ethics Module’ which was developed in a way so that people can easily comply with all the principles of BEC. The interactive modules were uploaded on a Web based compliance management system (CMS). The employee’s accounts were added to CMS. All the employees were able to safely login from India and China and read the compliance documents and put their digital signatures online. The compliance coverage was visible to managers on a Web based dash board. The online MIS dashboard was updated in real-time, this allowed the senior managers to track the coverage and focus attention on those geographies and units where the compliance coverage was weak.

Outcome

The online CMS ensured very fast coverage across organization within 2 months of launch. One of the biggest problems for the organization was tracking the employees whether they have read the compliance documents or not. Tracking the compliance coverage became easy with the help of dashboard as the manager can now see the collective information of all the employees across different geographies at a single place .With the help of CMS keeping records of employees joining and leaving the organization became easy.
